JVO EVENTS RENTAL AGREEMENT

These Policies and Regulations are intended for the Patron’s and guests’ protection and to ensure that all parties are aware of the privileges and liabilities associated with the use of The Jonesboro Event Center. Please make sure that persons assisting with the event have a copy of these Policies and Regulations. Failure to follow the Policies and Regulations may result in additional charges being assessed to the Patron.

PAYMENT POLICY

Rental rates will be highlighted and acknowledged in separate documents (invoices) and may be calculated hourly, by half days, by whole days and/or a combination of the above. Miscellaneous costs, such as bounce house, bar, catering, furniture, and equipment rentals are due with your balance payment. All sales are final unless you have the Inclement Weather Policy added to your event. You can make payments on your balance up to 14 days of your event. Balance must be paid in full 14 days prior to your event or your event will be cancelled with no refund or security deposit .

SECURITY DEPOSIT

A signed contract and security deposit in the amount $150 must be received to reserve your date(s) and time(s). This will be refunded within 7 business days after your event if the rental area is returned free of trash and no damage to any items or property from your event is present. Reservations are issued to the first party to complete deposit and contract to guarantee the reservation. If a contract has not been signed and no deposit has been made in full, then the event date will remain available for other parties. The booking party must have the event space returned to its original condition and absent from the event at their wrap time. Ensure you book enough time for setup of your event. Our start and end times are mandatory to ensure all customers have access to what they have paid for. If you depart the event area early, you are not authorized to grant access to the area by another user. If you do so, you will forfeit your security deposit. Security deposit will also be forfeited if any of the rules and regulations are violated in the contract.

INCLEMENT WEATHER POLICY

($99 per Event)

There are no refunds due to inclement weather or cancellations, unless you have an Inclement Weather event cancellation policy added to your event. This will need to be paid with the security deposit upon booking your event. This allows the customer to reschedule to a later available date or receive refund if there is inclement weather on the day of your event. Examples of inclement weather include high winds, rain, lighting, thunder, snow, etc. It also allows you to receive all monies that you have put to your event, security deposit included to be refunded due to inclement weather.

CANCELLATION

You can only cancel your event within 30 days prior to your event to receive security deposit back. After 30 days there are no refunds unless you have Inclement Weather Policy. REFUND POLICY NO REFUNDS WITHIN 30 DAYS OF YOUR EVENT. ONLY EXCEPTION IS IN THE EVENT OF INCLEMENT WEATHER WHEN THE INCLEMENT WEATHER POLILCY HAS BEEN PURCHASED.UNLESS YOU HAVE CANCELLATION POLICY-YOU CAN RESCHEDULE OR REFUND WITH THE CANCELLATION POLICY.

CLEANING, TRASH, AND EQUIPMENT REMOVAL

JVO EVENTS will be in a clean condition prior to your event. Following the event, you are required to return the space to the same clean condition in which it was found. All rental equipment must be removed immediately following your event. Your security deposit will be withheld if it is not.

TIME SCHEDULE

Rental time includes setup and cleanup (this includes time needed for setup, removal of all personal items, breakdown of all equipment, etc.) Ensure you have sufficient time for setup and takedown. Security deposits are not returned if you go over time, damage to property, or the area is not left clean. There may be multiple parties scheduled for the day so we have to adhere to a strict time for start and end of your event. There is a 30 minute window before and after your event that will allow for setup and cleanup.

CAPACITY

Our venue maximum capacity is no more than 150 guests. Our events are invite required meaning there are no open festivals or open events where the number of guests are unknown. This is due to safety and city inspection requirements. Valet required for more than 75 people or expecting over 35 vehicles. Security required when alcohol is served and there are more than 75 guests. Shuttle service and security is available through us or we must receive invoice and business license of your hired security or valet service.

PARKING

There are a total of 30 parking spaces total. More than 30 you will need to use our offsite parking and shuttle service. Parking is permitted only in areas marked for parking. Inquire if you plan to have over 30 vehicles present at your event Valet and security costs will be determined based on the type of event and number of guests expected. There is absolutely no parking on the side of Jonesboro Rd. and Mimosa Dr.. Parking in the area is limited so be sure to know how many vehicles you expect.

LIABILITY

Renter agrees to indemnify, defend and hold JVO EVENTS and HOUSE of STRONGWILL LLC.., its landlord, building owners, officers, employees, and agents harmless of and from any liabilities, costs, penalties, or expenses arising out of and/or resulting from the rental and use of the premises, including but not limited to, the personal guarantee of provision, service, and dispensing of payment by renter, its employees, and agents of alcoholic beverages at JVO EVENTS and HOUSE of STRONGWILL LLC.. In the event JVO EVENTS and HOUSE of STRONGWILL LLC.. its landlord, building owners, officers, employees and/or agents, are required to file any action in court in order to enforce any provisions of this agreement, renter agrees to pay JVO EVENTS and HOUSE of STRONGWILL LLC.., its officers, landlord, building owners, employees and/or agents, all reasonable attorney fees, court fees, and costs of suit incurred by JVO EVENTS and HOUSE of STRONGWILL LLC.. including all collection expenses and interest due. We are not responsible for damage to vehicles or break ins of vehicles while parked. We do have security cameras throughout the property and Jonesboro Police Department are close by.

SECURITY

If you are having liquor poured at your event and expecting over 75 guests, you are required to have security on premises. We provide security at $ 60 an hour or you can provide your own security. They must provide a license for security as a company and be verified through their county as a security company. We also will determine if security is required when registering

VENDORS

All vendors for your event must have a telephone number and contact person. All outside vendors need to be mentioned on contract so there are no mishaps with setup at the venue. Communication with vendors on access, rules, power supply, water supply, and other items need to be discussed with vendor before your event. NO outside inflatable companies can be used at our space except Funflatablez. This is due to liability and Insurance reasons.

ALCOHOL BEING SERVED

Alcohol is permitted at JVO under advised guidelines and restrictions. All requests must be approved prior to an event. When selling alcohol at your event, security is required from the designated serving time until the end of the rental. The city requires a $100 fee to sell liquor and $35 per licensed bartender. There is paperwork from the city that will have to be filed and paid for if you plan to sell liquor at your event. If Alcohol is complimentary or BYOB no city permit is required.

CATERING STANDARDS

Caterers must remove all trash, composting and recyclables from the site. All trash, including sorted recyclables and properly sorted compostable, must be collected, properly bagged, and removed by the caterer or party renting the space. Failure to remove or clean will result in additional fees to the customer and will be charged to the customers credit card or rental party on file. Food Trucks can park in the yard and sell food for your event. We also have a food and drink vending machine on site.

SITE DECORATION

JVO Events wants to make every event here a special and welcome experience. Therefore, every effort will be made to allow renter to prepare decorations reflecting their creative requirements. No nails, screws, or penetrating items are to be used on our walls or floors. Glitter or foil (non-paper) confetti is not allowed on site. Only low tack tape is allowed on our floors and walls. Any damage will be charged after your event. All signs, banners, balloons, etc. affiliated with the event, must be removed prior to exiting the area of use. The use of chalk or other coloring on concrete floors or walls is strictly prohibited. Ensure you book enough time for decorators. Site decoration and teardown is only within the time frame of you scheduled event. Be sure to book enough time for your setup and breakdown.

CONDUCT

There is absolutely no drug use on premises or within 25 feet of the building including loitering or congregating outside on the sidewalk at any time during the event. Disparaging remarks or any type of physical violence will not be tolerated and will be cause for immediate expulsion. Renter and guests shall always use the premises in a considerate manner. During underage events, such as graduation parties, underage individuals do not have in and out privileges. Conduct deemed disorderly at the sole discretion of JVO EVENTS and HOUSE of STRONGWILL LLC members shall be grounds for immediate expulsion from the premises and conclusion of the rental period. In such cases refunds of the event costs will not be available. During events using or selling alcohol, alcoholic beverages must not be taken outside the event space walk. All legal consequences and ramifications are the sole responsibility of the rental party and/or event space.

CITY, COUNTY, STATE, AND FEDERAL LAWS

Renter agrees to comply with all applicable City, County, State, and Federal laws and shall conduct no illegal act on the premises. This is always a drug free and non-smoking facility, and there are no exceptions. Renter shall not sell alcohol on premises at any time. Renter may not serve alcohol to minors on the premises at any time. Renter agrees, for everyone’s safety, to ensure alcoholic beverages are consumed in a responsible manner JVO EVENTS and HOUSE of STRONGWILL LLC reserves the right, in its exclusive discretion, to expel anyone who, in its judgment, is intoxicated or under the influence JVO EVENTS and HOUSE of STRONGWILL LLC of alcohol or drugs, or who shall, in any manner, do or participate in any act jeopardizing the rights, use permit, or insurability JVO EVENTS and HOUSE of STRONGWILL LLC or the safety of its staff, guests, or building contents. LIVE MUSIC/DJs/NOISE JVO EVENTS and HOUSE of STRONGWILL LLC encourages music and lots of dancing! Our recommended DJ has experience working at JVO EVENTS and is familiar with our regulations, policies, and procedures. Please be aware the premises are located near residential units and therefore neighborhood noise regulations do apply. In the event the renter’s event creates a disturbance due to high noise volume, JVO EVENTS and HOUSE of STRONGWILL LLC team members have full authority to ask the renter, DJ or live music presenter to turn the entertainment down and/or off. If repeated disturbances are created, at JVO EVENTS and HOUSE of STRONGWILL LLC discretion, renter may be expelled from the premises, or the offending noise will be ended. In the event of disturbances to the point of expulsion, no portion of the event costs will be refunded to renter. The renter will also be solely responsible for any fines or fees associated with noise ordinances. Loud music must end by 10 p.m.

ENTRY AND EXIT

Renter agrees that JVO EVENTS and HOUSE of STRONGWILL LLC staff may enter and exit premises during the event. A representative of JVO EVENTS and HOUSE of STRONGWILL LLC team member may be available during your event and may be checking periodically with the responsible parties to insure everything is operating correctly. They will also be checking the restrooms, the overall premises, replenishing hand towels, toilet paper, and will be available for questions or to respond to needs or issues that may arise. You can pay for an event attendant to assist with your guests and the premises.

PROMOTIONS AND COPYRIGHT

It is important to us that you have a fantastic and successful event. We are happy to provide professionally created images and graphics of our space for promotional materials. We hope you will refer others here and are happy to answer any questions you might have about the types of events we do. We reserve the right to gather content from your event for our marketing purposes. We like to show future customers what we have done and what we are capable of. Our photographer has rights to take pictures and video of event for our marketing purposes.

DISCLAIMERS

Skateboards, skating or bicycles on handrails, picnic tables on pavilion floor is strictly prohibited. The use of microwave ovens and portable generators in event area is strictly prohibited. We have plenty of plugs and power sources. The use of electrical drop cords running from pavilions out into the picnic areas is strictly prohibited. No trailer grills are allowed in the picnic areas unless authorized in advance by JVO Staff. The pouring of food, oil or charcoal, or other material of any kind onto grass or dirt areas around event area is strictly prohibited. Additional Activities/Vendors: All additional activities or services must be arranged 14 days prior to your event pending approval through our Risk Management Department.

JVO Events is not responsible for unexpected environmental conditions such as bugs, flies, mosquitoes, and/or bees at pavilions and will not refund any portion of the rental fee based on this occurrence.

I agree to abide by the policies and regulations stated above and acknowledge that I will be held responsible for any damage to or littering within JVO Events. In such event, I agree to pay for any cost of time, cleaning, remedy, repair or other damages, which I authorize by credit card or other form of payment, to be debited accordingly
